Immigration and Visa (before coming to Japan)

COE (Certificate of Eligibility)

The COE is a certificate that is necessary for obtaining the Status of Residence Visa when entering Japan. Required documents including the COE will be submitted to the Japanese Embassy or Consulate before arrival in Japan, and a visa will be issued in your passport. Upon landing in Japan, show the visa and COE to the Immigration Officer and you will enter Japan upon receiving the Status of Residence “College Student.”

For foreign nationals who are admitted to the university through overseas applications, NITech will apply for issuance of the COE at the Immigration Bureau on behalf of the applicant. Please send the following required documents to the International Affairs Division:

Documents required for application

  1. Grant application for Certificate of Eligibility (For NITech: download) 1 form
    * If photocopying a prescribed form, please use A4 size paper and make sure the copy is clear.
  2. Applicant's photo (4cm high x 3cm wide) 1 photo
    * The photo should be of the upper half of body with no hat, color, plain background, and taken within the past 6 months prior to application.
  3. Proof documentation (Documentation from the Ordinance for the Enforcement of the Immigration Control and Refugee Recognition Act, Article 3) 1 form

(1) Undergraduate student at a university, postgraduate student

  • a) Copy of the Letter of Acceptance
    • * If the Letter of Acceptance has not been issued by the time of application, it can be substituted with a copy of the Notification of Success in the Examination or a copy of the receipt for payment at time of admission.

(2) Research Student, Special Graduate Research Student (SGRS), Special Graduate Student (SGS), Special Undergraduate Student (SUS)

  • a) Copy of the Letter of Acceptance
    * Same as the * for (1) a
  • b) Any of the applicable documents below: Research Students who are not exclusively audit students or Special Graduate Research Student (SGRS) must submit a certificate describing the details of research.

Special Graduate Student (SGS) or Special Undergraduate Student (SUS) who are auditing must submit a copy of their registration form listing the courses to be audited and number of hours.

  • Note: In addition to the above-mentioned documentation, students may also be required to submit the following documentation.
  • 1) Certificate of educational background (A certificate of enrollment for Special Graduate Research Student (SGRS), Special Graduate Student (SGS), Special Undergraduate Student (SUS))
  • 2) Resume with academic background, employment history and reasons for study
  • 3) Proof of ability to pay

If you are paying on your own

  • Proof of payment of scholarship or bank certificate in student's name

* In the case of a bank book, a document is necessary that backs up the rationality behind the student's asset building history (Examples: Taxation certificate, proof of employment, etc.)

In the case that a person other than the student is paying

  • Letter of payment from payer
  • Copy of the taxation certificate of payer (showing gross income), tax certificate slip, tax return (duplicate), or bank book
    * In the case of a bank book, a document is necessary that backs up the rationality behind the payer's asset building history
    (Examples: Taxation certificate, proof of employment, etc.)
  • Document that shows proof of relationship between student and payer
